Hotel Room Rates-Quantified and Qualified

Conferon has a very extensive hotel database that includes profiles of over 3,500 hotels. As the largest purchaser of group and convention business in the nation, Conferon accumulates a wealth of information on the hotel and supplier communities. Are you aware that within this database, Conferon tracks an excess of 5,000 group and convention room rate quotes annually? This information is very powerful and assists our Account Executives in negotiations and helping to place each meeting in the hotel best suited for the overall demographics of each group.

Generally speaking, room rates are rarely the sole reason for contracting a given hotel. However, most often room rates are a major component in the site selection process. Prior to partnering with Conferon, most clients evaluated room rates based on the following:

  • Historical rate parameters of the specific meeting
  • Fiduciary responsibility to members or budgetary requirements for travel
  • Plain and simple “Gut Instinct”

In addition, Conferon utilizes this historical information to quantify, evaluate and assess room rate quotations. Conferon tracks this massive volume of room rate history to assist both the hotel and client community define what is truly fair value based on the specific merits of each meeting. Conferon also tracks the quantifiers for each rate quote to ensure that we are comparing apples to apples. Complementing each rate quote is information on the rooms-to-space ratios, food & beverage utilization, arrival/ departure pattern, amount of lead time, time of year, concessions awarded, total room nights and the sales person that quoted the rates.

Bottom line-information is power when used effectively and not abused. Conferon invests a substantial amount of labor hours every year tracking room rate information. Our goal is always to assist all parties in achieving a true Win/Win result based on the merits of each specific meeting.
